We created our shared Scope & Sequence document directly from your contract so you never have to guess. You’ll know who’s coming, what they are doing, what’s been completed, what changed, and what decisions still need to be made.
We invite you into the project management process. Instead of keeping the schedule behind the scenes, we share it with you so you can follow the project, ask questions, and stay informed from start to finish.
The Timeline
Discovery –> Estimate –> Contract –> Scope & Sequence –> Finish
Discovery
That is what an estimate appointment is for; it’s a discovery. We come out to see what your project would entail, you get a chance to get a feel for our work style. Discovery goes both ways, just like any successful working relationship. This is where we discuss your material options, any layout changes, overall project wish list, and budget.
Estimate
This is sent over through QuickBooks and requires a signature to proceed to Contract. This is a condensed version of the work to come based on your project goals, priorities, and budget. Signing this gives us the go ahead to make a more detailed contract.
Contract
The Contract, which requires a DocuSign signature, is legally required by the State of Oregon.* It has the full Scope of Work including estimate costs for work and supplies some of which may be ranges of cost if materials have not been decided on yet, payment schedule, and boilerplate information protecting both parties as required. The first installment payment is also due at this time.
*Note: Whomever you choose for your project, ORS 12.320 pertains to all service contracts and specifically calls out construction contracts. Be sure to hire a company that puts these protections in place for you in their contract.
Scope & Sequence
You’ll always know what is happening next. Once your project begins, the Scope of Work in the Contract evolves into your shared Scope & Sequence document—the roadmap for your remodel. Unlike a typical contract, ours stays active throughout the project and becomes the central place where schedules, updates, notes, and changes are tracked.
Throughout your project, you’ll always know:
- who’s coming
- when they’re coming
- what they’re doing
- what materials arrive
- milestones

This was a larger, “age in place” project with multiple rooms. See how inspections, multiple subcontractors, homeowner comments, schedule updates, and change requests are managed in one shared document.
Real Project Conversation
Remodeling projects change. Questions come up. Schedules shift. Instead of relying on phone calls or hoping everyone remembers the latest conversation, we document those discussions directly in the project schedule so everyone stays on the same page.
We’ve removed client names and subcontractor information for privacy, but these are real project schedules and real conversations from actual Menlo remodels.

We built this system because the lack of communication from contractors and the “no-show” reputation is such an industry-wide cliché that it puts homeowners immediately on the defensive. That’s not a good place to be and we knew there had to be a better way.
Finish
We like to have a final hand-off day where we pick up final payment in-person and go over work. There are no surprises here because we’ve been in contact the entire time through the Scope & Sequence.
